A familiar component name is not enough to identify a spare part. Manufacturers revise assemblies, local modifications change interfaces and visually similar items may have different ratings. A disciplined identification pack helps specialists confirm fit before dispatch.
Start with the machine identity
Record manufacturer, machine model, serial number, manufacturing year, line position and available manual or bill-of-material reference. Photograph the complete machine and its nameplate before focusing on the component. For an assembly, note left/right orientation and upstream or downstream interfaces. These details help distinguish a standard catalogue item from a machine-specific revision.
Collect evidence from the installed part
Capture clear photographs from several angles with connectors, mounting points and markings visible. Record all codes exactly, including spaces and suffixes. Add critical dimensions, material, voltage, power, pressure, temperature or speed ratings as relevant. Do not rely on scale inferred from a photograph; include a dimensioned sketch when no drawing exists. Keep the removed part until the replacement is accepted.
Describe duty and failure context
Explain what the machine processes, the normal operating conditions, observed symptom and any diagnosis already completed. A failed seal, bearing or sensor may be a consequence rather than the root cause. Sharing duty information allows the specialist to challenge an apparently identical but unsuitable substitute. Also state whether an exact OEM part, approved equivalent or repair option is acceptable.
Approve the match before shipment
Ask the supplier to return a marked-up comparison showing confirmed and different attributes. Review drawings and datasheets, not only the quotation description. Agree treatment of superseded numbers, adapters and software compatibility. For critical downtime items, confirm stock location and test lead time before arranging urgent transport. A brief technical approval step is usually cheaper than a second emergency shipment.
